Terms and conditions
These terms apply when you book a tour or service with White Dove Tours CC. Please read them with your quote and our cancellation and payment terms. If your quote says something different, your quote applies.
1. About us
White Dove Tours CC ("we", "us") is a tour operator in Namibia.
"You" means the person who makes the booking and everyone travelling on it.
2. Quotes and bookings
2.1 A quote is our offer to provide the tour described in it.
2.2 Rates depend on supplier prices, dates and availability. Until your booking is confirmed, we can change a quote if a supplier changes its rates or a lodge is no longer available.
2.3 Your booking is confirmed when we have received your deposit and sent you a written booking confirmation. A contract then exists between you and us.
2.4 The person who books confirms that everyone in the group has read and accepted these terms, and has the authority to make the booking for them.
2.5 Prices are in Namibian dollars (NAD) unless the quote says otherwise. Any other currency shown is approximate.
3. Payment
Payment dates and amounts are set in your quote and in our cancellation and payment terms. Late payment may lead to the booking being cancelled under those terms.
4. What is included
Your tour includes only what is listed in your quote or itinerary. Items marked "not included" or "optional" are your responsibility and are charged separately. This usually includes international flights, visa fees, travel insurance, premium drinks, tips and personal items.
5. Price changes after confirmation
After your booking is confirmed we will not increase the price, except for government taxes, levies or park fees that change after confirmation and are outside our control. We will tell you before we collect any increase.
6. Changes you make
6.1 Tell us as soon as possible if you want to change dates, lodges, activities or names.
6.2 We will try to make the change. It depends on availability, and extra costs may apply. We will tell you the cost before we make the change.
6.3 Changes that reduce the number of travellers or nights may be treated as a cancellation of part of the booking under our cancellation terms.
7. Changes we make
7.1 Namibia has long distances, gravel roads, changing weather and wildlife. We may need to change timings, routes, activities, drivers, vehicles or accommodation to keep you safe or because a supplier cannot provide a service.
7.2 If we make a significant change, we will tell you as soon as we can. We will offer you an alternative of similar standard. If you do not accept it, we will refund what you paid for the part we cannot provide, or cancel under our cancellation terms for changes made by us.
7.3 Wildlife sightings, weather and the condition of dunes, roads and rivers are outside our control. We do not promise any sighting or experience.
8. Your documents, visa and health
8.1 You are responsible for having a valid passport, any visa and any health documents that you need to enter Namibia and any country you pass through. See our Namibia visa and entry requirements page for guidance. It is guidance, not advice, and the rules change.
8.2 Travel insurance is compulsory. It must cover medical costs (including evacuation), cancellation and baggage. We may ask to see your policy.
8.3 Tell us before you travel about any medical condition, mobility need or allergy that could affect your tour.
8.4 If you cannot travel because you do not have the documents you need, the cancellation terms apply.
9. Health, fitness and safety
9.1 Your tour includes travelling long distances, some on gravel roads, in remote areas and in hot or cold conditions. You must be fit enough for the tour you book.
9.2 Wildlife in Namibia is wild. You must follow your driver-guide's instructions at all times, stay in the vehicle where told to, and keep to marked paths.
9.3 Optional activities such as sandboarding, quad biking, scenic flights and boat trips carry their own risks. Providers may ask you to sign their own waiver. Follow the instructions of each provider.
9.4 Your driver-guide may change or stop an activity if they believe it is unsafe.
9.5 We may remove a traveller from the tour without refund if their behaviour endangers others or breaks the law.
10. Children
Children travelling must have the documents needed for entry into Namibia (see our visa page). Some activities and lodges have age limits. Tell us ages when you book. Child rates are set in your quote.
11. Special requests
We pass on requests such as dietary needs or room preferences. We cannot guarantee them unless we confirm in writing.
12. Our responsibility to you
12.1 We will arrange your tour with reasonable skill and care.
12.2 We use independent suppliers, including lodges, activity operators, pilots and boat operators. They are responsible for the services they provide.
12.4 We are not responsible for loss or damage to personal items, cash or documents. Insure them.
12.5 We are not responsible for costs caused by things you do or fail to do, such as missing a pick-up or not having the right documents.
13. Events outside our control
13.1 If something outside our reasonable control prevents or affects the tour, we are not responsible for the delay or failure. Examples are natural disasters, severe weather, flooding, fire, disease outbreaks, war, civil unrest, strikes, government action, border closures, and road or airport closures.
13.2 We will tell you as soon as we can, and try to offer an alternative. If we cannot, we will refund payments for services we could not provide, less costs we cannot recover from suppliers.
14. Complaints
Tell your driver-guide straight away if something is wrong, so we can try to fix it during the tour.
15. Photographs and media
We may take photographs and video during tours. We use images of you on our website or social media only if you agree in writing. Tell your guide if you do not want to appear in any image. You may take photographs, but ask permission before photographing people, and follow local rules at cultural and heritage sites.
16. Your personal information
How we collect and use your information is described in our privacy policy.
17. Law and disputes
These terms are governed by the laws of Namibia. Courts in Windhoek can hear disputes. Before going to court, we ask you to contact us so we can try to settle the matter.
18. Changes to these terms
We may update these terms. The terms in force on the date your booking is confirmed apply to that booking.
